In a business process, you can appoint not only a certain employee and department as a stage executor but also any role existing in the system. If there is no suitable role, create one.
The role that was specified as the stage executor becomes functional — with its help, Saby distributes tasks to executors.
For example, accountant Ivanov calculates the salary. In order not to manually make changes to the operation, if an employee quits, select the role of «Accountant» as a stage executor and add your accountants into it.
The choice of the executor follows a certain pattern. Let's look at the example of the «Salary payment» operation.
In the settings of the «Payroll calculation» stage, the executor is the «Payroll Accountant» role. Ivanov has a configured restriction «By specific employee» — for the employee Alekseev, Sidorov has a restriction «By all company».
Once the operation is launched, Saby starts looking for the employees with the «Payroll accountant» role with the «By specific employee» restriction. If Alekseev has created the document, Saby will appoint Ivanov as an executor.
If another employee has created the document, the search for other restrictions continues in the following order — «By work area», «By department», «By company» and «By all company». The second executor who Saby will find is Sidorov.
If a payroll accountant is not found, the stage moves to the role that inherits its authority. In our case, «Chief Accountant» and «Director» inherit the functions and rights of the «Payroll Accountant» role.
Saby sorts the roles alphabetically and makes the same selection by restriction. That means, first Saby looks for an employee with the «Chief Accountant» role — Petrov, after that — «Director» Smirnov.
If the executor cannot be defined automatically, you can select them manually.
Find out the executor search order
To find out which of the employees is the executor of a specific functional role, go to the «Settings/Access and Rights» section in the «Roles» tab. In the role card, set the mode «By restriction type». The system will show employees in the order set for Saby to search for the operation executor.
